Do you want to upload beneficiary data for DBT payment? Do you want to initiate payment for large numbers of beneficiaries? So, you are reading the right article where you will get complete process step by step to upload the beneficiaries in bulk mode, or you can say in excel based. Here we will see how to prepare the excel file and what are the procedures before start DBT payment.

In this process you have upload excel file. Here I will show you the complete step by step process to prepare excel file, upload process, beneficiaries to edit in Data Operator login and approval process at Data Approver.

First you have to login using your Data Operator Id to your agency in PFMS. Once login the first step is to download the template for beneficiary data then we will prepare it for uploading. So, the complete process step by step is as follows:

Step 1: To download the template for bulk uploading of beneficiaries go to Masters -> Beneficiary Management -> Upload beneficiary data click on it

Step 2: Now you are on Upload Beneficiary Data page, here you have to download the template to prepare the beneficiary data. To download simply choose scheme then Beneficiary Type and click on download template.

Step 3: After Successfully downloaded the excel file you have to fill all the mandatory details before uploading. Try to fill these fields in excel which as follows:

  • Full Name in English
  • Gender (F or M)
  • Address line 1
  • District
  • State
  • Country
  • Bank Name in full i.e (State Bank of India, Punjab National Bank)
  • IFSC Code
  • Account Number
  • Pin Code

Step 4: Now click on choose file under option Select Excel File and choose from your computer then click on Upload File.

Step 5: Now you can see under Excel Upload History that your file status is showing Successfully Complete. You have to approve in Data Approver login once the beneficiary file after validation from the bank.

Validation Errors & Rectification Process

Error 1:   InActive Bank Branch, Bank name not matching with IFSC code, Bank Is InActive.

Sol: Please check properly Bank Name, IFSC code or the bank you entered is merged with some other bank.

Error 2:  Invalid Account Number

Sol: Mostly the Account Number which are start with 0 we basically face issues. In this case place the 0 last to the Account Number to avoid validation. But we have to modify and changed the account number to correct one before approval.

Error 3:   Duplicate account Number not Allowed in same file.

Sol: Check your excel file and remove all the duplicate account numbers.

Error 4:   Invalid Bank Name or small name, Bank name not matching with ifsc code.

Sol: Check the Bank Name column in excel and change short name of banks to its Full Name i.e. if you write SBI then change it to State Bank of India.

Error 5:  Aadhaar number or Account number is Required.

Sol: If Account Number cell showing blank in excel then convert the account number from text mode to Number mode.

Error 6: IFSC Code is not valid, IFSC code is Required, InActive Bank Branch, Bank name not matching with ifsc code, Bank Is InActive.

Sol: Please check properly Bank Name, IFSC code or the bank you entered is merged with some other bank.

How to edit Beneficiaries

If you follow solution of Error 2 and upload the excel file, then you need to edit and rectify the details before approval. Try to follow the steps as below to edit Beneficiaries before approving:

Step 1: First you have to go to Masters -> Beneficiary Management -> Edit Beneficiary click on it.

Step 2: Now you are on Beneficiaries Pending for approval page where you need to choose some details before edit a particular beneficiary. Choose Scheme, Beneficiary Type, Excel Beneficiary File, Pending/Rejected Beneficiary then Account Number and click on Search.

Details will be shown for the beneficiary, click on Edit under Action and modify the details as required.

How to Approve Beneficiaries

Before approving the beneficiaries, you need to check the Bank Status. If the Bank Status is showing “Success in Bank” then you can approve it. To approve you need to login to your Data Approver id. Try to follow the steps as below to approve Beneficiaries:

Step 1: To approve beneficiaries go to Masters -> Beneficiary Management -> Approve Beneficiary click on it.

Step 2: Now you are on the Beneficiary approval page where you need to choose Scheme, State and Beneficiary Type then click on search to view the beneficiary details to approve.

Step 3: Verify the Beneficiary name uploaded by you with Beneficiary Name as per Bank if correct then Select the Beneficiary and Tick on I confirm that beneficiary name registered and issued by bank are matching and click on approve.

In case you want to reject then choose Reason for Rejection and click on reject.
