If you are an employer, it is mandatory for you to furnish the details of the new members, who have joined the company, to the EPFO department. It has been made compulsory so that a UAN is generated for a first-time employee (a person who does not have a P.F. account) or a new P.F. account of the current company can be linked with the UAN account of the employee.


UAN Registration Procedure for Member who has joined EPF for the first time

In this case you can obtain the UAN from the EPFO portal based on the information provided in the declaration form by the member. Only after you have obtained the UAN from the portal, you can submit the ECR in respect of the member. The process of obtaining the UAN is as follows:

Step – 1: Login to Employer ECR Portal then go to member section and click on Register-Individual.

Step – 2: Previous Employment/UAN should be choose “no” then you are required to provide all the details of the member such as his name, father’s or husband’s name, date of birth, etc. along with his KYC details on the EPFO portal. The fields that are needed to be furnished with such information are present on Annexure ‘A’.

Then, you have to fill in the details as per the KYC document, i.e. Aadhaar card, PAN Card and Bank Details to avoid future complications and click on save button.

Step – 3: Now, go to Approvals under member tab and approve the registration.

Step – 4: Go to Active Member under Dashboards tab, you will get the UAN from the portal, and it will be available for validating for your ECR file.

UAN Registration process for a Member who already has an UAN

In this case the employee has to declare his UAN number and personal details to the employer via the declaration form as per the current process. The process is as follows:

Step – 1: Go to member tab then click on the Register Individual.

Step – 2: Previous Employment/UAN should be choose “yes” then you are required to provide the details of the member such as UAN, Aadhaar, Name and Date of Birth then tick on check box to accept the condition and click on verify.

Step – 3: Once verify a popup window will open showing Member details matched, click on ok.

Step – 4: You are required to provide the Date of Joining and EPF Wages of the member along with his KYC details, Tick on check box to accept the condition and click on save.

Step – 3: Now go to Approvals under tab Member and approve the registration.

Step – 4: Go to Active Member under Dashboards tab, you will get the UAN from the portal, and it will be available for validating for your ECR file.
