Eligibility & Documents Required for EPF/ESI Registration

Employees Provident Fund (EPF) is a scheme controlled by the Employees’ Provident Funds and Miscellaneous Provisions Act, 1952. It is regulated under the umbrella of Employees’ Provident Fund Organisation (EPFO). PF registration is applicable for all establishment which employs 20 or more persons, subject to certain conditions and exemptions, the list of documents required for PF and ESI registration. .

Eligibility for EPF/ESI Registration

Registration for PF / ESI is compulsory for the Companies which grow to a strength of 20 members are expected to register themselves within one month from the time of attaining this strength, with penalties applicable for delays in registration. Co-operative societies are expected to register if their employee strength increases to 50 or more and registered organizations continue to be under the purview of the rules and regulations of the Act even if their employee strength falls below the minimum specified number.

The Central Government can make it compulsory for organisations with less than 20 employees to contribute towards EPF by giving them two months’ notice. Organisations with less than 20 employees can also contribute towards EPF on a voluntary basis. The employee and the employer each contribute 12% of the employee’s basic salary towards EPF. In case the organisation has less than 20 employees, the employer’s contribution is 10%.

Documents Required

Based on the type of entity seeking PF registration, the list of documents required for PF registration:

For Proprietorships

1.) Name of the applicant
2.) Pan card of proprietor
3.) Id proof of the proprietor like Driving license/Passport/Election Card
4.) Address proof of proprietor.
5.) Address proof for the premises.
6.) Complete details of the applicant with their residential address and telephone number

For Partnership Firms / LLP / Company

1.) Name of the partnership firm or LLP or Company
2.) Certificate of Registration Firms in case of Partnership firm. Incorporation Certificate in case of LLP or Company.
3.) Partnership deed in case of partnership firms or LLP.
4.) Id proof of Partners –Pan card /Election Card / Passport/Driving license in case of Partnership Firm or LLP. ID proof of Directors in case of company.
5.) List of all partners with telephone number and address proof of all partners in case of Partnership Firm or LLP. List of all Directors with contact details in case of Company.

Society/Trust

1.) In case of Society, Trust etc, Registration of the organization needs to be done with concerned authority.
2.) Certificate of incorporation of society/trust.
3.) Moa and Bye Laws of society and trust.
4.) Id proof of president and all members of society
5.) Complete details of president and all members with their complete address and telephone number.
6.) Pan card of society/trust

Common Documents Required for All Entities

1.) Name of the company
2.) Date of setup of the company
3.) Scan copy of company’s PAN (Proprietor’s, in case of proprietorship concern)
4.) Scan copy of Licences available in name of the company. (like Service Tax, VAT etc)
5.) Cross cancelled Scan copy cheque of company’s bank A/c
6.) Address of the company with address proof
7.) List of Directors/Partners
8.) Address proof of Proprietor/Director/Partner
9.) Email address, Mobile Number of Proprietor/Director/Partner
10.) Copy of First Sale Bill/Job Work Bill and first Purchase Bill
11.) Monthly strength of employees from Date of setup
12.) GST Registration Certificate, if registered under GST.
13.) Register of salary and wages, all vouchers, all balance sheets from day one to current date of provisional coverage.
14.) Salary and PF Statement.
15.) Digital Signature of Proprietor/Director/Partner
16.) Current List of employees with details:
